Office Contract Coordinator Job Duties & Requirements

Position Summary:

The Office Contract Coordinator is responsible for overseeing the end-to-end production process for roofing projects,
ensuring seamless coordination between clients, contractors, and project managers. This role involves strategic planning,
procurement management, and the implementation of processes to optimize efficiency and enhance overall project
success. A strong focus on organization, communication, and problem-solving is essential to this role.

 

Job Type:

  • Full-Time
  • $45,000-$47,000 plus performance-based bonus
  • Comprehensive benefit package

Responsibilities:

 Material Procurement and Management

  • Create material orders required for all roofing projects, ensuring they meet quality and specification
    requirements.
  • Establish and maintain strong relationships with suppliers to secure competitive pricing and reliable delivery
    timelines.
  • Collaborate with suppliers to forecast material needs and mitigate shortages or delays.

Work Order Coordination

  • Create and manage work orders, ensuring clear communication and proper documentation for all stakeholders.
  • Serve as the primary liaison between clients and contractors to facilitate smooth project execution.

Contract Administration

  •  Review and compare contracts with insurance paperwork to confirm accuracy and compliance.
  • Ensure all required documentation is completed and uploaded into the company’s project management system
    (e.g., JobNimbus).
  • Manage contract supplements, tracking percentage increases and strategizing improvements to maximize contract value.

Performance Tracking and Reporting

  • Track and analyze key metrics, including material quantities ordered, time spent in various project statuses, and
    overall production efficiency.

Issue Resolution and Process Improvement

  • Collaborate with cross-functional teams to implement corrective actions and preventive measures.
  • Continuously evaluate and refine production workflows to enhance quality and operational efficiency.

 

Experience

  • 1-2 years of proven experience in production coordination, project management, or office coordination,
    preferably within the construction or roofing industry.
  • Strong understanding of material procurement processes and vendor management.
  • Excellent organizational and multitasking abilities with a detail-oriented mindset.
  • Proficiency in project management software (e.g., JobNimbus) and Microsoft Office Suite.
  •  Exceptional communication and interpersonal skills, with a collaborative approach to problem-solving.
  • Ability to analyze data and generate actionable insights for process optimization
