Hours: Monday to Friday, 8:30 AM – 4:30 PM
On-site Role | No nights or weekends required
About the Role
We’re seeking an Office Contract Coordinator to support our production team by managing material orders, contract documentation, and project tracking. This role is perfect for someone who’s highly organized, detail-driven, and thrives in a fast-paced environment.
You’ll work closely with contractors, suppliers, and internal teams to ensure roofing jobs run smoothly from start to finish. If you enjoy juggling tasks, solving problems, and being at the center of operations—we’d love to meet you.
Key Responsibilities
Material Procurement & Coordination
Create and manage material orders for roofing projects
Work with suppliers to confirm pricing, availability, and delivery timelines
Forecast material needs and troubleshoot delays when needed
Project & Work Order Management
Generate accurate work orders and ensure all job details are communicated clearly
Coordinate between contractors, crews, and clients for smooth project execution
Track job progress and update timelines as needed
Contract Administration & Documentation
Review contracts and insurance paperwork for accuracy
Upload required documentation into our project management system (we use JobNimbus)
Help manage contract supplements and identify ways to improve contract value
Performance Tracking & Problem Solving
Monitor key metrics like order volume, project timelines, and workflow efficiency
Support process improvements to help the production team stay on track
Collaborate with other departments to keep everything moving forward
What You Bring
1–2 years of experience in project coordination, admin, or office support (construction or roofing a plus)
Strong organizational skills and attention to detail
Ability to multitask, prioritize, and keep things moving in a fast-paced environment
Comfortable communicating with vendors, contractors, and teammates
Tech-savvy and familiar with Microsoft Office, Google Suite, and project tools (JobNimbus is a bonus)
A proactive, problem-solving mindset—you don’t wait to be told what needs fixing
